PRESENTATION:

The Office de Tourisme Intercommunal d’Hautvillers is an association set up by the law of 1901 by the Federation of Municipalities of Grande Vallée de la Marne (CCGVM) in accordance with Article 10 of law no. 92-1341 dated 23 December 1992 relating to the distribution of skills in the tourism sector.

Its action extends to 16 municipalities in the Grande Vallée de la Marne region.

Initially named Point “I” in 1990, before becoming the municipal tourist office 10 years later to provide help and information to visitors, this activity had been carried out by the “Friends of Hautvillers Association”.

When the municipality of Hautvillers wanted to transform this entity into a Tourist Information Office, the Tourism responsibility was delegated to the Communauté de Communes (federation of local municipalities). The decision was made to create an Intercommunal Office in the district of Hautvillers whose scope of action would be the entire region covered by the Communauté de Communes.

The Tourist Information Office opened for business on 1 July 2002. It was awarded one star by the Marne Prefecture (renewed every five years).

It is based in the heart of the village of Hautvillers, at 10 Place de la République in the village’s former district church, which over the years has been home to the post office, boy’s school and other local services.


The key responsibilities of Hautvillers Tourist Information Office are:

- Greeting visitors

- Providing information to tourists and the local community,

- Promoting the region,

- Organising local events,

- Coordinating stakeholders and partners helping to develop tourism.


It also carries out other complementary activities:

- Collecting the holiday tax on behalf of the CCGVM

- Greeters

- Publishing calendars of local events and cellars open at weekends,

- Ticketing (music concerts in Champagne, Rire comedy festival),

- Exhibitions,

- Sale of books, maps and walking guides,

- Shop selling souvenirs and local products


Every year, the TIO welcomes around 14,000 visitors of every nationality looking for all kinds of information. The numbers of international clientele is particularly high due to the visitors from Belgium, Germany and the UK who through our village.

To fulfil its responsibilities as closely as possible in compliance with the regulatory directives concerning tourism activities and the needs of the different partners and visitors, in 2005 the Tourist Information Office started a Regional Quality Initiative to enhance customer satisfaction.

 

 

ORGANISATIONAL STRUCTURE

Board of Directors

17 members comprising local elected officials (9) and members of the Intercommunal Tourist Information Office (8).

The Board of Directors meets around four times a year.

Key responsibilities of post:

- COMMUNICATION: Designing and updating internal and external communications materials: tourist guide and website

- WELCOMING visitors, tracking visitor numbers to the TIO and PROVIDING INFORMATION using every type of document available at the TIO.

- PROMOTING regional and local events, supporting the management and sale of shop products, managing ticketing (events, shows, etc.)

- SUPPORTING promotional actions and external events monitored by the Tourist Information Office (participation at trade fairs and exhibitions, etc.)

EVENT MANAGEMENT

- Taking part in the organisation and smooth running of events proposed by the Tourist Information Office

ADMINISTRATION

- Carrying out administrative duties (secretary to the President, etc.) and statutory requirements (invitations, preparation of themed dossiers, drafting of minutes, etc.) for the association.

- Organising, in constant relation with the President, calendars, monthly declarations, etc.

- Handling the shop takings

QUALITY ASSURANCE

Responsibilities of the Quality Coordinator:

- Oversee the monitoring and implementation of recommended actions internally and externally

- Manage interns

HOLIDAY TAX

Responsibilities of tax collection

- Collect quarterly taxes; prepare the return slips to the treasury, receipts for accommodation managers, etc.

Key responsibilities of post:

GREETING / INFORMATION / PROMOTION

- WELCOMING visitors, monitoring the statistics of people visiting the TIO, and PROVIDING INFORMATION to visitors using every type of document available to the TIO.

- RESPONDING to requests for information (in writing: mail, fax, email; and orally: telephone, etc.)

- PROMOTING regional and local events, supporting the management and sale of shop products, managing ticketing (events, shows, etc.)

- Assisting with, when necessary, the creation and updating of internal and external communications materials

- Supporting, when necessary, promotional actions and external events monitored by the Tourist Information Office (participation at trade fairs and exhibitions, etc.)

EVENT MANAGEMENT

- Taking part, when necessary, in the organisation and smooth running of events proposed by the Tourist Information Office

ADMINISTRATION

- Participating, when necessary, in the administrative and statutory duties of the association

- Managing the space and posters/displays in the TIO


Times:

Opening times vary in accordance with volume of tourist activity.
